How We Built a Complete HRMS in 3 Weeks

A step-by-step breakdown of how our team scoped, designed, and launched a full Human Resource Management System for a 40-person company in under 21 days.

When a fast-growing HR software startup approached us needing a complete HRMS before their client demo in three weeks, we said yes. Here's how we built it — and what we learned.

The Brief

The client needed: employee onboarding, attendance tracking, leave management, payroll calculation, document storage, and a manager dashboard. All of it needed to work with their existing Google Workspace and handle 40+ employees across three departments.

Week 1: Architecture and Core Models

  • Day 1–2: Requirements workshop. Mapped every feature to a database model.
  • Day 3: Set up Laravel 11 backend with Sanctum auth, role-based access, MySQL schema.
  • Day 4–5: Built Employee, Department, Attendance, and Leave models with full CRUD APIs.
  • Day 6–7: Next.js frontend setup with auth flow, sidebar layout, and design system.

Week 2: Feature Development

With the foundation solid, we moved fast. The attendance module used a simple clock-in/clock-out mechanism tied to IP address — manageable for their office setup. Leave requests went through a multi-level approval flow with email notifications. Payroll calculation was the hardest part: it needed to handle PF, ESI, PT, and TDS correctly for Indian compliance.

“We spent 2 days on the payroll calculation alone. Indian compliance rules are complex but getting them right matters.”

Week 3: Polish and Deployment

  • Built the manager dashboard with attendance graphs and department headcount charts
  • Added PDF payslip generation with the company letterhead
  • Set up staging and production on DigitalOcean with automated deployments
  • Ran UAT with the client's HR team — 11 bugs fixed across 2 days
  • Go-live on Day 21

What Made It Possible

Speed came from a solid stack (Next.js + Laravel + MySQL), a pre-built design system, and extremely clear requirements from day one. The client knew exactly what they wanted. We followed a strict no-scope-creep rule for the first 3 weeks — everything non-essential went to a v2 backlog.

The Result

The client presented a fully functional HRMS at their investor demo. They closed the round. We're now building v2 with mobile apps and biometric integration.
